Manager - HR & Administration
 Location: Mumbai, Maharashtra

Educate Girls ( is holistically tackling issues at the root cause of gender inequality in India’s education system. Our comprehensive model reforms government schools through community ownership and reaches over 90% enrolment, higher attendance and improved learning outcomes for all girls. Founded in 2007, the non-governmental organization has a management and outreach office in Mumbai and operations in Pali, Jalore, Sirohi, Ajmer, Bundiand Rajsamand and Bhilwara in Rajasthan.


The Manager - HR & Administration will report to the Chief Operating Officer and will be based at Mumbai, Maharashtra. The position will be responsible for the gamut of human resource and administration related work in the organization including assisting in design and update of policies related to human resource and administration, ensuring implementation of policies at the headquarter office in Mumbai and at field program offices, as well as all aspects of legal compliance, and building strong relationships with, staff at all levels in the organization and with external stakeholders such as HR consultants, auditors, and statutory bodies as required, to ensure an effective and responsive human resource and administration function at Educate Girls. The position will be responsible to:

Overall planning and implementation

Work closely with functional heads at the headquarter office and the state program offices to anticipate HR and administration needs on an ongoing basis and develop actionable plans, including:
  •     Design and establish processes and procedures to implement duly approved HR and administration plans.
  •     Ensure implementation of the organizations’ HR policies.
  •     Partner with the Learning & Development Manager to facilitate appropriate learning and development strategies.
  •     Recommend modifications to the HR policies responsive to legal compliance aspects and organization needs.

Engage with concerned functional heads and state program managers to understand position requirements and utilize the input to develop job profiles for position requirements, including:
  •     Supervise the HR & Administration Officer at the headquarter office and direct and co-ordinate with designated resources at state and district offices to ensure timely completion of planned recruitments.
  •     Assist in design of compensation aspects for new positions and periodic reviews of compensation levels of existing positions as per industry practice.
Induction and training

Design orientation and on-boarding strategies to include design and/or updation of induction material for newly-recruited staff in coordination with the Learning & Development Manager, including:
  •     Manage implementation of on-boarding plans such as, planning and dissemination of on-boarding calendar and co-ordination with concerned staff to ensure on-boarding and induction is implemented as planned.
  •     Co-ordinate with the Learning & Development Manager to assess training needs and provide support to implement the training calendar at the headquarter office in Mumbai and the state program offices.
Staff records, performance and contracts management

Guide the HR & Administration Officer to manage creation, updation and maintenance of staff personnel files in accordance with the HR policy and needs of the organization, including:
  •     Ensure that timely reminds are issued by the HR & Administration Officer for upcoming probation reviews or other aspects related to renewal of contract tenures, compensation revision or appraisals.
  •     Guide and support supervisors in reviewing and completing probation conclusion.
  •     Guide and support supervisors to initiate and complete performance review protocols including goal setting and periodic review as per the HR policy including mid-year and end-year appraisals.
  •     Support function heads and program teams in informal and formal conflict resolution processes including undertaking field visits based on need.
  •     Manage issue of fresh contracts, renewal or extension of contracts, separation related communication and other staff performance related communication with due approvals
  •     Ensure compliance on statutory aspects including Provident Fund, Gratuity and applicable labour and employment laws.
  •     Work closely with the designated resources on voluntary and involuntary separations to facilitate smooth separation in compliance with legal protocols and internal protocols as per the HR policy.
  •     Co-ordinate annual performance appraisals including representing the HR function, as required, during the appraisal process at the headquarter office or state program offices.
Human resource management information system (HRMIS)

Manage introduction and implementation of the HRMIS, including:
  •     Ensure smooth implementation of the HRMIS as per the approved plan and framework.
  •     Monitor the flow of information within the software and supervise the HR & Administration Officer and designated resources in the state program offices to ensure timely updation of information in the HRMIS.
  •     Design report outputs from the HRMIS and ensure that the required reports and analysis is completed in a timely manner.
  •     Interact on an ongoing basis with the function heads to gain inputs for reporting needs from the HRMIS and assist in resolution of challenges in implementation of HRMIS, as may come up.
  •     Support the implementation of centralised payroll function once the HRMIS is fully commissioned.
Employee relations

Assist in designing and implementing effective employee-centred initiatives in consultation with the Learning & Development Manager, including:
  •     Develop and implement annual and periodic plans towards utilizing a range of possible platforms for employee communication and feedback including company meetings, suggestion programs, and employee satisfaction surveys.
  •     Implement approved employee retention mechanisms including being available for staff to review and resolve any issues as may be required.
Administration and procurement

Supervise and guide the HR & Administration Officer and the designated resources at the state program offices to manage the administrative and office management needs of the headquarter and the state offices including travel logistics, security, insurance of assets etc., also:
  •     Procure services of recruitment, administration related and other support agencies in including assisting in various stages of the procurement process such as developing terms of reference, identifying qualified service providers, obtaining offers, establishing internal panels to evaluate offers, participating in evaluation of offers and negotiations for engagement, coordination for contracting.
  •     Liaise with recruitment, training, administration related and other support agencies to ensure completion of assigned tasks as per the organization’s standards and expectations.
  •     Carry out any other duties as may be assigned for the position.

Candidates suitable for the position:
  •     Graduate preferably with a post-graduate degree/diploma in Human Resources or a related discipline.
  •     A minimum of 5 to 7 years of work experience in an HR management role including experience in         working at the headquarter office with multi-state teams, preferably in an organization that has a large     employee share of program field personnel.
  •     Experience of mapping HR needs and designing, implementing and evaluating HR initiatives.
  •     Experience of managing a HR information system aligned with organization performance metrics.
  •     Knowledge of compliance and legal aspects related to HR and administration functions including Provident Fund, Gratuity, ICC to address Sexual Harassment issues and other compliances as per the law of the land.
  •     Demonstrated experience of engagement with HR service providers including recruitment and training.
  •     Experience of working with a not-for-profit would be an asset.
  •     Confident, self-driven and a team player.
  •     Ability and willingness to travel to program areas as may be required.
  •     Proficient in Microsoft Office and Windows Operating System.
  •     Fluent in written and spoken English and Hindi.
